Hotelmark handles personal data with care. This policy explains what data we process via hotel-mark.com, why, and what rights you have.
Who we are
The controller is Hotelmark (Chamber of Commerce, KvK, in aanvraag), reachable at info@hotelmark.nl. Hotelmark provides websites, marketing, and automation for small-scale Dutch accommodations.
What data we process
Waitlist: if you sign up for the waitlist, we process your email address and the source of your signup.
Newsletter: if you sign up, we process your email address to send the newsletter, with double opt-in.
Contact: if you email us, we process your email address and the content of your message.
Payment: if you purchase a package, payment is processed via Stripe. We do not receive full card details, only a confirmation and the data needed for the invoice.
Statistics: we measure visits with privacy-friendly, cookieless statistics. No personal profile is built in the process.
Why and on what legal basis
We use your data to respond to your request, manage the waitlist and newsletter, carry out a purchase, and improve the site.
The legal bases are: performance of a contract (handling a purchase), consent (newsletter and non-essential cookies), and legitimate interest (a safe, functioning website). We do not sell your data and do not use it for advertising profiling.
Cookies and statistics
By default the site only uses functional storage and cookieless statistics. Analytics and marketing tags via Google Tag Manager load only after you give consent. More on this is in the cookie policy.
Who we share data with
We engage processors who process data on our behalf, under a data processing agreement and only for the stated purpose:
Vercel: Hosting of the website (EU region). Plausible Analytics: Privacy-friendly, cookieless visitor statistics (EU (Germany)). Google Tag Manager: Management of analytics and marketing tags, only after consent (EU/US). Resend: Sending confirmation and newsletter emails (only upon signup, double opt-in) (EU/US). Stripe: Payment processing (EU/US).
We only share data further when required to by law.
How long we keep it
We do not keep data longer than necessary. We keep waitlist and newsletter data until you unsubscribe. We keep purchase and invoice data for as long as tax law requires (seven years for accounting records).
Your rights
You can access, correct, or have your data deleted, withdraw your consent, and object to processing. Send a message to info@hotelmark.nl and we will help you. You can also file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Security and changes
We take appropriate technical and organizational measures to protect your data, such as encrypted connections and hosting on European servers.
